HR & Admin Assistant

Job Description

As the HR & Admin Assistant, you’ll be vital in ensuring the smooth delivery of HR services and the day-to-day operations of the department. You’ll assist with onboarding, record management, benefits administration, internal communications, and more. You’ll report directly to the Senior HR & Admin Manager and indirectly to the Chief Administrative Officer.

This is a full-time, permanent position that is primarily remote, with the understanding that you’ll report onsite when required.

Duties and Responsibilities

  • Assist in Onboarding: Coordinate checklists, prepare documentation, and ensure timely completion of onboarding tasks.
  • Support Learning & Development: Help maintain the L&D database and assist with scheduling and documenting training sessions.
  • Support HR Operations: Assist with company benefits (like HMO and statutory benefits) and track employee transactions and concerns.
  • Coordinate Timekeeping: Work closely with Accounting to monitor and update leave applications and attendance.
  • Manage Employee Records: Maintain and update employee 201 files, HR records, and ensure confidentiality and compliance.
  • Administer Offboarding: Coordinate exit processes, including documentation, clearance tracking, and equipment returns.
  • Manage Databases: Keep all employee information, HR trackers, and internal databases consistently updated and accurate.
  • Handle Internal Communications: Send out scheduled announcements such as holiday memos, birthdays, work anniversaries, and other HR-related notifications.
  • Provide General Admin Support: Offer additional clerical support to ensure smooth HR operations.

  • Comfortable with Digital Tools: You’re familiar with Google Workspace and willing to learn new tools like Asana or other systems as needed.
  • Committed & Proactive: While previous HR/admin experience is a plus, it’s not required—what matters most is your commitment, follow-through, and initiative!
